Create a Topsheet Account


Whether you are a producer, production accountant, background actor, or even cast and crew this guide will show you step by step how to create your account with Topsheet payroll. Our images and instructions should help guide you through the process.

Step 1 — Navigate to the signup page

Step 2 — Enter your contact details

Click and fill out the FULL NAME field (use your legal name for payroll), EMAIL, and PHONE NUMBER fields to get started.

Step 3 — Create a secure password

Click the PASSWORD field and create a password that meets all requirements:

8 characters (minimum)

1 uppercase letter (minimum)

1 number (minimum)

1 special character (one of: ! @ # $ % ^ & * ( ))

Security tip

Use a password manager to generate and store a unique password. Options include: 1Password, LastPass, Apple Passwords (Keychain), or Google Password Manager.

Using a password manager helps you avoid reusing passwords and protects against keystroke-tracking attacks. These tools sync across desktop and mobile for easier, safer sign-ins.


Step 4 — Complete the Captcha

Click the Captcha field and complete the challenge shown on your screen (it’s unique to your session). This helps ensure a human—not a bot—is creating the account.

Sign up - Frequently Asked Questions (FAQ)

1. Why would I need to sign up with Topsheet to get paid?
Topsheet serves as the Employer of Record (EOR) for productions doing payroll with our app. This means we handle payroll, taxes, workers’ compensation, and compliance on behalf of the production company. Signing up ensures we can properly process your payments and file the required tax documents.


2. What information do I need to provide when creating my account?
You will need your legal full name, email address, and phone number is all you need to get started.

If you are an employee on a Topsheet Payroll project, then you will also need to add your W4, I-9, Stat Tax Form, and payment information so we can pay you for your work.


3. Can I use a nickname or stage name instead of my legal name?
No. For payroll and tax purposes, your legal name as it appears on government-issued identification is required. You may enter your preferred name for display in some areas of the app, but your paycheck and tax forms must use your legal name.


4. What does Topsheet do with my data ?
Topsheet never shares your data with third parties without your consent, and we comply with federal and state data security regulations. We do not sell, share, or utilize your information outside of hiring, payroll, and project managment.


5. Do I need to download the mobile app, or can I just use the website?
You can use either. The mobile app (available on the Apple App Store and Google Play) is convenient for filling out timecards and viewing pay stubs on set. The website provides the same features and is optimized for desktop use. If you are an admin on a production, you will need to use the web app, not the mobile, as admin features are only on the web app.


6. How do I know if I’m being paid as an employee or a contractor?
Your role and the project’s setup determine this. Most cast and crew are employees (paid on W-2s). Contractors (paid on 1099s) are rare and only permitted if they have proper incorporation and meet state requirements (for example, California’s AB5 law restricts contractor status). You can be paid through a corperate loan-out using a W9 if you meet legal requirements.


7. What if I forget my password or get locked out of my account?
You can reset your password anytime through the “Forgot Password” link on the login page. For security, you’ll be required to verify your identity via email or phone before regaining access.


8. How quickly will I get paid once I submit my timecard?
Payment times vary by production, but Topsheet’s system is designed for efficiency. Once your timecard is approved, payroll is typically processed within a few business days. Direct deposit ensures the fastest access to funds.


9. Do you handle union projects?
Yes. Topsheet supports both union and non-union productions. For union projects, we handle Exhibit Gs (created for your team automatically), pension, union dues, and reporting requirements automatically.
